3.   After successfully authorizing your QuickBooks account, Chargebee will properly check whether your plan/addon price points have a valid GL Account Name. The Price points without any Account Name will be listed.

4.   Users can easily download the CSV files to add the accounting information for all price points by following a few steps.

5.   Now, Chargebee will be performing compatibility checks to make sure that invoices don't fail later when the invoice sync has started.

6.   If users are having a Stripe Payment Gateway enabled then they should choose the Payment Reconciliation method, recommended by Chargebee. You will not see this option if you do not have Stripe Gateway enabled.

7.   In the next step, for configuring sync rules, it’s important to provide account mapping, such as

a.   Providing account mapping

             i.        Plan/Addon Price Points should be mapped to specific GL Accounts in QuickBooks. This type of mapping is captured in the Product Catalog > Plan/Addon > Select a Plan/Addon Price Point and enter the GL Account Name.

            ii.        Payments /Refund transactions are recorded in Chargebee. For Reconciliation purposes, users can select a clearing /undeposited funds account. If they have multiple currencies or payment gateways or payment methods enabled, then they can choose a specific payment account.

          iii.        If there is any type of difference in the invoice total calculation between Chargebee and QuickBooks, then Chargebee will add a round-off item automatically. Users can choose a GL account to which round-offs should be mapped.

          iv.        One time/ Adhoc charges that are created in Chargebee can be mapped to a specific account in QuickBooks.

           v.        You can select an account to map Discounts/ Cost of Goods (COGs) in QuickBooks. You can also map multiple discount items to a single GL Account or can choose to map each Discount item to specific GL Accounts.

b.   There will be syncing offline payments. Every time offline payments are read from the bank statement and reconciled against open invoices in QuickBooks, these payments can be read and synced back to Chargebee. The due payment invoices will be marked as Paid in Chargebee where you have the choice to enable this feature or not.

c.   Users can choose to sync voided invoices as Credit Notes in QuickBooks. If not enabled, users are supposed to update the invoices manually in QuickBooks, Chargebee will not void the invoices in QuickBooks.

d.   If users have set up Classes in QuickBooks, then they can enter the tracking categories for one-time charges, discounts, and round-offs.

8.   Users can select a date from which invoices generated in Chargebee should be synced to QuickBooks. They can choose from options such as Sync all invoices, and Sync invoices from a specific date.

9.   After the configuration is successfully completed, you can begin with the sync.

10.                It should be noted that Chargebee will sync the first 10 invoices only, to make sure that the mapping, conventions, and sync criteria line up with your requirements.

11.                It is recommended to review these invoices in QuickBooks, if the sync works as expected then you can click on the Sync All Records option and proceed or make the required changes.
